In Coursetune, team members are what make the continuous improvement process work! As a Coursetune admin, adding new people is easy. The controls allow you to have permissions set at every level, for every course. Adding is a two-part process, so make sure to follow the steps below to ensure everyone on the team can make the most of Coursetune. Whether you are adding a single individual to your team or entire departments as a batch, make sure to have a task ready for your teammates so they can contribute. See the Related Articles section at the end of this article for more help with roles and access.
Adding One Person
Step 1- First, you need to navigate to the Users panel. Click on the hamburger menu (three lines) next to your name in the top right corner. Select Users from the drop-down menu.
Step 2- Click Add User in the Users panel. This is where you can add their first and last name and their email address. We recommend double-checking the email address; if it is incorrect, they won't receive the Coursetune welcome email. Click Add User when you're done.
It is best practice to let the user choose their own password. There is a Set Password option here if you need to set a password for a user, but we recommend letting the user choose (skip the Set Password button).
Adding Multiple People
If you want to add many team members at a time, read this article: How can I upload multiple new team members using a csv file?
What happens after I add the user?
Click through the notification message and the user will be added. The Highest Role for the new user will be empty.
When you add a normal user, you are just giving them access to your organization's (Level 1) Coursetune instance. As soon as you add the user, you should either:
- give the user roles on course (Level-4 Object) teams and program (Level-3 Folder) teams where it is appropriate
- let the user's direct manager know the user has been added to Coursetune and is now ready to be added to course and program teams
In other words, someone needs to add the user to the right teams or they will have a very boring first Coursetune experience.
What if it doesn't work? If the user's email is already in the Coursetune system, you'll get an error warning and you will not be able to add the user. If this happens, check to see if the user is simply an inactive user. See article: How can I reactivate a user?
Assigning Roles to Multiple People at Once
After adding your team members, you will want to want to assign them roles. You can check out this article for how to add individual members to different levels: How can I add a new team member to a program (level-3 folder)?
You may have many users who will be assigned a similar role, such as the role of commenter to a program or course. You can use the Batch Assign feature to assign the roles to many people all at once.
Step 1: First, click on the hamburger menu (three lines), and select Users from the drop-down menu.
*Note: Only Admins will see this menu.*
Step 2: In the Users panel, select some team members by checking the boxes to the left of their names, and then click on Batch Assign.
You need to choose at least two team members for the Batch Assign button to activate.
Step 3: In the Batch Assign panel, you can search for more team members to add. Then, search for the level to assign them to, and then select the role from the Change Role drop-down menu.
